Bulk Emails
Guild emails are sent out to the entire SWG membership by the Bulk email committee chair. Guild emails serve one of the following purposes:
Communicate time sensitive information to the guild
Communicate official guild business (this includes the business of SWG committees)
Communicate information of general interest to the guild, such as study group, non- SWG workshop and conference opportunities, volunteer and outreach requests and member's obituary details.
Information regarding equipment and fiber sales should be sent directly to the Equipment- For-Sale Chair at loomsforsale@seattleweaversguild.com. You do not need to be a guild member to request equipment-for-sale emails. Be aware that the equipment-for-sale emails are frequently picked up and forwarded to other guilds in the area.
Guild Members can opt out of receiving guild emails at membership renewal time or by contactingtheMembershipchair. Pleasenotethatwhenyouoptout,youwillnotreceive any bulk guild emails, including equipment-for-sale.
The Bulk Email chair is responsible for sending out guild emails other than equipment sales emails.
The Bulk Email chair may delegate the ability to send out Guild-wide emails to certain committee chairs for the purpose of sending out recurring correspondence based on their office. For example, the Bulk Email chair may, at their own discretion, delegate the ability tosend out emails concerning the guild bulletin to the SWG Bulletin chair. The focus of the delegated ability is narrow, and should not be used for emails outside the identified purpose.
The Bulk Email chair is responsible for formatting and distributing the emails. It is not the chair’s responsibility to create the email content. The Email chair is responsible for determining if the email request meets the above criteria for a bulk email, and that it is being requested bythe appropriate, responsible party. For example, the Community Service chair should be involved in volunteer requests. However workshop and education requests may be made by outside parties, such as another guild or a local teacher. The Email chair may ask for clarification from the requester or consult with SWG board members if they are unsure about a particular request.
How to request an all-Guild email
Compose the email. Be sure to include all relevant information including time, location and cost if pertinent. Do not provide this information via a .PDF
Include your contact information (e.g. For more information contact sally weaver at sally.weaver419@gmail.com)Emails cannot be forwarded – you must provide the entire content which will be copied to a Guild email by the bulk email chair.
Attachments are not supported. Documents can be uploaded to the website and shared in the message with a link.To do this, attach your document/photo to the email request and include in the body of the email a place to insert the link. (e.g. include the text 'To see a flyer for the event click HERE').

Identify any time sensitive issues in your request.
The Bulk Email Chair will create the guild email and send it to the guild distribution list. The distribution list is maintained by the Data Hub Chair and includes all members in good standing. (Any changes to your email information should be sent to the Data Hub chair.)
Target turn-around time for non-urgent emails is 3 days to 1 week. If the email is time critical, contact the Bulk Email chair directly. The email chair may combine email requests or forward them to responsible SWG committee chairs such as the Equipment-for-Sale chair or the Museum and Gallery Liaison if appropriate. Be sensitive to peak email request time frames, such as just before a guild meeting and the weeks preceding the SWG sale in October. Turn-around times may be greater during these times.
